How long is the audio conference?
HCCA audio conferences are scheduled for 90 minutes per session.  Typically, 60 minutes are dedicated to the presentations and 30 minutes are allotted for questions and answers.

What time is Central time my time?
Know your time zone. Know the time zone of the location where you will be at the time of the call.
12 Noon Central translates to 1 PM Eastern
12 Noon Central translates to 11 AM Mountain
12 Noon Central translates to 10 AM Pacific

12 Noon Central translates to 7 AM Hawaii-Aleutian

Can more than the registrant sit in on the audio-conference?
Yes, but you must use only one phone line--for example, a phone on speaker mode in a conference room. 

Why not try this…Organize the call so that as many people as you want on the call are able to listen.  Work with your education departments and provide the HCCA audio conference as a quality alternative to in-session training on matters of compliance and current regulatory affairs.  Sign-out sheets are provided upon request and HCCB accreditation is granted.

What if we want more than one phone line?
If an individual needs to dial from a separate phone, they need to register and pay another audio conference registration fee.  Depending on the number of participants per organization needing separate phone lines on a given call, the organization should contact HCCA for special group rates.

What is the cancellation policy?
There are no cancellation fees. There are no refunds once the audio conference registration fee is paid.  The only exception to this policy is if attendees experience a medical emergency that keeps them from the call. If you cancel, you have the following three options: (Please note:  All requests--including the refund for a medical emergency--must be submitted to us in writing via LETTER, EMAIL OR FAX –and not taken over the phone). 

1) You may have the CDs and written materials sent to you.

2) You may request a conference credit for the same amount as the paid registration fee.  If you choose this option, you will receive a conference credit on your HCCA account.  You, or anyone within your organization, will have one year to use the conference credit amount toward future HCCA conferences.  You may NOT apply the credit to conferences cosponsored by the AHLA.  If you do not use the credit within one year, it will expire.

3) You may request a transfer substitute.  If you are unable to participate in the call and do not want the CD or a credit, you have the option of transferring it to someone else within your organization.  If you opt for a transfer substitute, a registration form for the individual substituting for you on the call must accompany the written request.

If I can’t attend the audioconference are there CDs available? If so, when can I get them and at what cost?
CDs are available for purchase.  They are typically available 7-10 business days after the audio conference.  Please allow two weeks for shipping and handling.  The cost breakdown is the same as for the audio conferences:  Members receive the $175 cost and Nonmembers receive the $215 cost.  Two, three and four part CD audio conference series carry the same pricing formats as their corresponding audio conferences.  Written materials are included in the cost of the CD packages.

When do we get the dial in information and written materials for the audio conference?
HCCA tries to get the dial in information for the call to attendees four days before the audio conference.  Due to the time sensitivity of some of the audio conference topics, written materials may arrive under separate cover as late as the day before the audio conference.

May I ask questions anonymously?
Of course.  We are happy to forward blinded email questions to the faculty.  They will do their best to answer the questions on the call.  Keep in mind that during the audio conference, the audio conference facilitator identifies callers with questions by giving their names to all attendees before their questions are asked.

I want to register for the call but I won’t be able to get the payment in on time. Can I still register?
Yes, fax in the registration form with either the Purchase Order Number or a copy of the check request.

Are CEU credits available for audio conferences or the resulting CDs?
Yes.  1.2 HCCB-CEU’s are available for a 90 minute audio conference.
