Onsite Safety Protocols

HCCA considers the safety of all those onsite at our events a top priority. Below you will find a listing of all current safety protocols that will be in place onsite at the Compliance Institute (CI).  Please note that as the guidance changes, updates will be made accordingly. 

Masks: 

  • In accordance with local guidance, masks are strongly encouraged for all participants regardless of vaccination status.  HCCA staff and hotel staff will be required to wear masks.
  • There will be designated mask tables throughout the session rooms.  Look for signs on tables in the session rooms that indicate “Mask only section/table”, which will typically be placed towards the front of session room.
  • HCCA will have disposable masks available on site if needed. We will also have latex gloves should anyone feel more comfortable wearing them.

Sanitization stations:

  • Hand sanitizer will be readily available throughout the conference meeting space.
  • Sanitizing wipes will be available in each room to wipe down seating/tables as desired.

Touchpoints:

  • HCCA has removed several touchpoints throughout the conference. There will be a bar code assigned to each person for contactless registration check-in, scanning in/out for outside certification credits, and scannable drink tickets. Additionally, all session information, materials, and evaluations will be accessed through your own personal device.
  • There will be no internet café at this venue. Before you arrive in Phoenix, please print out any presentations you would like to have for taking notes during sessions. Note, you will be able to take notes through the mobile Digitell conference platform.

Seating and food service: 

  • Seating in session rooms and meal areas will be as socially distanced as possible based on each room size. 
  • There will be designated mask tables throughout the session rooms.  Look for signs on tables in the session rooms that indicate “Mask only section/table”, which will typically be placed towards the front of session room.
  • Breakfasts, coffee breaks and receptions will be self-serve with display stations.  Hand sanitizers will be available, and there will be multiple stations to reduce crowding.
  • Lunches will be served plated style with no passed or shared items (i.e., no passed breadbasket, dressing dish, etc.)
  • Extended break times have been built into the schedule for attendees to reduce crowding near ballroom entrances, restrooms, and elevators.  

Vaccination status and onsite testing:  

  • Currently, there is no vaccination requirement for conference participants, including attendees, speakers, or vendors. Staff employed by SCCE & HCCA are required to be vaccinated to work onsite at the event.
  • Currently, there are no daily temperature checks or health screenings.
  • Currently, there is no requirement for proof of a negative COVID test prior to arrival. However, we do encourage attendees to take a COVID test within 72 hours of arrival.   As outlined in the Duty of Care, all participants are responsible for self-monitoring. Do not attend if you are experiencing any symptoms of illness. Participants may transfer to the virtual program or request a refund, should they become ill prior to the start of the conference.
  • If SCCE/HCCA is notified on-site or up to 10 days post conference of a confirmed case of COVID-19 for a conference attendee or SCCE/HCCA onsite staff person, any individuals identified as being in possible close contact with that individual (within 6 feet of an infected person for a cumulative total of 15 minutes or more over a 24-hour period) will be sent a courtesy notice.
